Give every quote the same written brief
Specify rental start and finish dates and times, delivery and collection destinations, proposed drivers and intended route. Include passengers and any requirements that affect the vehicle choice. If a particular listing or roof configuration is essential, name it rather than asking for a broad category.
Keep the brief unchanged while comparing options, or mark any differences clearly. A lower daily figure for a shorter period or another collection arrangement is not a like-for-like quote. Ask the operator to distinguish what is confirmed from what remains subject to approval, including the actual unit and any proposed alternative.
| Quote line | Question to resolve | Comparison record |
|---|---|---|
| Vehicle and dates | Which unit and rental period are priced? | Exact listing and start/finish |
| Delivery and return | Which locations and service windows apply? | Agreed arrangements and charges |
| Mileage | What basis and adjustment apply? | Included amount and stated calculation |
| Money held separately | Is this a payment or authorization? | Purpose and release process |
| Changes | What if the trip or vehicle changes? | Cancellation and substitution terms |
Separate the total price from money held temporarily
Request an itemized total with the applicable charges identified. Delivery, collection, taxes and other agreed services should be visible rather than assumed to be included. Ask how mileage and an altered schedule would be calculated, so you can compare the relevant terms as well as the initial amount.
Keep any deposit or payment-card authorization separate from the rental total in your worksheet. Ask what it is for, how it is processed and what reconciliation applies. The FTC's rental guidance distinguishes advertised prices, possible charges and payment-card holds; the actual amounts and process for this booking must come from the operator.
- Record the operator's legal identity and contact.
- Keep the full quote, not only a screenshot of one rate.
- Ask for unclear lines to be explained before acceptance.
Accept a confirmed proposal, not a collection of assumptions
Review driver approval, permitted use and any required documents before paying. Insurance and damage-related questions need their own written explanation; a deposit figure does not establish coverage. If you rely on another provider, ask that provider about the exact vehicle and rental arrangement rather than assuming generic protection applies.
Save the final accepted version and keep one place for later amendments. If the dates, route, delivery or car change, ask for an updated record showing the effect on the total and terms. This makes the eventual pickup and return easier to compare against what was actually agreed.
Mark unanswered questions in the comparison worksheet instead of filling them with assumptions. For example, an unspecified collection charge is unresolved, not automatically zero. Return the same short list of open points to the operator, then compare the completed proposals once the replies identify the actual vehicle, services and conditions being offered.
Questions about this rental plan
Is the published vehicle rate a final trip price?
No. Request a quote for your dates, vehicle and delivery arrangements, with applicable charges and terms identified.
Should a deposit be compared as if it were another daily charge?
Record it separately and ask whether it is a payment or authorization, what it secures and how reconciliation works for the actual booking.
